About the Position
We are recruiting for an organised and detail-focused Administrator to join a prestigious independent fine jewellery and watch boutique in Tunbridge Wells, Kent. This is an excellent opportunity for someone with strong administrative skills to support the smooth running of a luxury retail, client service, and workshop environment.
In this role, you will provide essential administrative support across the boutique and wider team, helping to manage client information, documentation, appointments, internal communication, stock records, supplier coordination, and day-to-day operational tasks. You will play an important role in ensuring processes are accurate, efficient, and delivered to the high standards expected within a luxury business.
This role would suit a proactive and highly organised administrator who enjoys working in a polished, client-focused environment where accuracy, discretion, and professionalism are key.
Key Responsibilities
- Provide day-to-day administrative support to the boutique, client service, and wider operational teams.
- Maintain accurate client records, internal documents, appointment notes, and administrative files.
- Support diary management, appointment scheduling, client follow-ups, and internal coordination.
- Assist with stock administration, product records, transfers, documentation, and inventory-related tasks.
- Process invoices, purchase orders, internal forms, and general paperwork accurately.
- Liaise with internal teams, suppliers, workshops, and external partners where required.
- Support client service administration, including enquiries, confirmations, updates, and follow-up communication.
- Help maintain CRM records and ensure client information is kept accurate and up to date.
- Prepare reports, spreadsheets, and documents to support boutique and business operations.
- Support events, private appointments, clienteling activity, and team projects with administrative coordination.
- Handle confidential information and high-value product documentation with care and discretion.
- Maintain organised filing systems, both digital and physical.
- Ensure all administrative processes are completed in line with company procedures and timelines.
- Contribute to a polished, professional, and well-organised working environment.
About the Candidate
- Previous experience in an administrative, operations, client service, retail support, or office coordination role.
- Experience within luxury retail, jewellery, watches, fashion, hospitality, or high-value goods would be advantageous.
- Excellent attention to detail and strong organisational skills.
- Confident working with documents, spreadsheets, systems, records, and internal processes.
- Strong written and verbal communication skills.
- Professional, discreet, and comfortable handling confidential information.
- Able to manage multiple tasks, deadlines, and priorities accurately.
- Proactive, reliable, and solutions-focused.
- Comfortable liaising with internal teams, suppliers, and external partners.
- Polished and professional in approach.
